Every Other Friday / Closeout Desk
01 · Closeout packages for public construction jobs
Your final payment is waiting on a stack of paperwork. We build the stack.
Every Other Friday puts together the closeout package for public jobs: the warranties, O&M manuals, test reports, training records, spare parts and as-builts your specs call for, each tied to its spec section and page. You review it, sign it and submit it.
Free checklist first. We chase the manufacturers and trades for anything missing, and you pay $1,950 only when the finished package is in your hands.
Browse free closeout checklists for 37 public jobs VA, military, state, county and university jobs, each built from the job’s public spec book
Inside one real spec book
603 pages. 181 closeout items. Here is where they hide.
Scroll to run the scan. Each mark is a real item from our checklist for the Buffalo Convention Center ballroom job, placed on the PDF page where the spec asks for it. Most of the work is in Division 01; the rest is scattered through the trade sections.
Front matter and bidding documents: nothing for closeout yet.
Data: the full checklist for this job, rebuilt October 22, 2026. Item types are sorted automatically; the spec section and page are what count.
The problem
The work is done. The money isn’t.
On public jobs, the last payment and any retainage wait on closeout. The requirements are scattered across hundreds of spec pages, half the documents come from suppliers and other trades, and it all lands on the busiest people in the office at the end of the job.
A missing warranty letter or an unsigned training record can hold the whole package. We take that chase off your desk.
- Warranties and guarantees
- Operation & maintenance manuals
- Test, balancing and startup reports
- Owner training records
- Spare parts and extra materials
- Record (as-built) documents
- Final releases and the last pay application
How it works
From spec book to signed binder.
We read the whole project manual, not just Division 01, so nothing hides in a trade section.
Tell us the job
A project name or solicitation number is enough. If the specs aren’t public, send your copy.
Free checklist
Every closeout item in your specs, with its section, page and required copies or format. Usually within one business day.
We collect and assemble
We request documents from your suppliers and trades, track what’s still missing, and organize the binder the way the spec asks for it.
You sign and submit
You get the finished package to review. You sign and submit it to the owner. We fix anything they send back.
Pricing
Simple, and you only pay for a finished package.

After handoff
The warranties keep running after you hand over the keys.
A closeout package you buy from us will list each warranty, when it starts and when it runs out. We can also keep watch on those dates, send you a reminder 60 and 30 days before each one ends, and put together the claim paperwork if something fails. Ask us if that would help on your job.
About us
A small company that does one boring job very carefully.
Every Other Friday is based in Manalapan, New Jersey, and was started by Paul Vasquez. We use AI to read long spec books and keep track of hundreds of documents, and a person checks every checklist and every package before it reaches you.
We’re new, and we’d rather show you than tell you: the sample checklist on this page was built from a real, publicly posted county spec book.
You sign everything
We prepare. You review, sign and submit. We never sign, certify or submit on your behalf.
Your documents stay yours
We use your files only for your job and delete them when you ask.
Every line has a source
Each checklist item points to the spec section and page it came from, so you can check us.
Questions
Fair questions.
Is the checklist really free?
Yes. It’s how we show what we can do. You keep it whether or not you hire us for the package.
What if our specs aren’t posted publicly?
Send us your copy of the project manual as a PDF. Many federal task orders and private-funded jobs aren’t public, and that’s fine.
Do you need access to our systems?
No. We work from PDFs sent by email or a shared folder. We never need your logins.
Who signs and submits the package?
You do. We prepare and organize everything; your company reviews it, signs it and submits it to the owner or general contractor.
Do you guarantee our retainage or final payment is released?
No one honest can. Payment can also wait on punch-list work, liens or the general contractor’s own paperwork. What we promise is a complete, checked closeout package that matches your specs.
How is AI used?
AI reads the spec book and drafts the checklist and the document tracker. A person checks the work, and every item points back to the page it came from.
Which jobs do you take?
Public jobs of any size: federal (VA, Army, Navy, Air Force and others), state, county, city and school work, for general contractors and specialty trades alike.
